About the Role:

We are looking for an employee who would be responsible for facilitating the appropriate release of information from the medical record within the guidelines of North Carolina statutes, HIPAA, and Physicians East P.A. policy regarding release of medical information.

 

Supervision Received: 

Reports to the Health Information Supervisor; Health Information Services Manager; Operations Director.  

 

Supervision Exercised: 

None.

 

Typical Physical Demands: 

Requires prolonged standing or sitting.  Requires frequent bending, stooping, or stretching.  Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment.

 

Typical Working Conditions:

Normal office environment.

 

Responsibilities:

  • Responsible for the release of confidential information to authorized sources.  This is a key job responsibility in that extensive knowledge of legal requirements is necessary along with knowledge of policies and procedures regarding the release of confidential information.
  • Process patient requests for records as a priority.  Standard is to process and complete all requests received within 8-10 business days.  Processes subpoenas, handles court orders and communicates with Risk Management, judges, attorneys, and others as needed to complete records.        May require taking records to the Courthouse. 
  • Responsible for documenting releases/disclosures in the electronic medical record by utilizing the appropriate form component.        
  • Responsible for calculating the charge for medical record requests and adding the encounter and charge to the practice management system.  
  • Assists Management with processing HIPAA requests according to established guidelines within appropriate time frames.
  • Works with and greets the public regarding requests for information, i.e., families, insurance agents, third party payers, attorneys, and physicians.  Staff is available and able to discuss issues regarding requests with all requestors.   Handles all calls in a friendly and professional manner.
  • Assists staff and providers with release of information questions.
  • Receives/verifies requests and makes computer inquires to determine accurate patient information, dates of service and medical record numbers.
  • Review appropriateness and completeness of requests and validates authorizations for release.  
  • Provides appropriate notification regarding status of specified requests via form component created in the electronic medical record.
  • Keeps track of information requested by customers.
  • Takes necessary actions to assure that all documentation is accounted for prior to releasing.
  • Answer telephone and assists requestors as needed in a friendly and professional manner.  Reviews all telephone requests for validity prior to release.
  • Conducts appropriate follow-up for outstanding requests and provides feedback via interim reply letters to requestors, as needed.
  • Processes electronic requests via the patient portal, approved third party portals or PE approved software. 
  • Fills out disability forms/letters for Cardiology, Dermatology, Pulmonary, Rheumatology, Endocrinology and Winterville.  
  • Confronts all work with a positive attitude and has basic knowledge of other areas within the organization.
  • Participates in educational activities, as necessary.
  • Maintain a team approach with staff and patients.
  • Performs other duties, as requested by the Supervisor.

 Location & Commitments:

FT/PT/Temp/PRN role based at our Greenville location, Monday-Friday, 8a.m. – 5 p.m.

Overtime may be required to ensure patients are taken care, tasks are completed, and calls are returned in a timely manner.

Weekend work is rare but can occasionally be necessary.

 

Candidate Requirements:

Experience as a Medical Assistant is preferred with background in completing form requests - or - a high school education (associate degree preferred) with a minimum of two years of experience in a medical record setting or similar health care environment. Strong verbal, interpersonal and written communication skills; strong organizational skills; detailed oriented. Must also be able to work well under stress, tight deadlines, and fast-paced environment. The ability to interact effectively with physicians, mid-level providers, clinical and non-clinical employees as well as the public and outside offices is paramount.
