Job Summary:
The Executive Admin will be responsible for many different tasks related to the operations of Sound Partners. They will field calls and maintain calendars. Additionally, this individual will organize reports and documents to ensure ease of access.
This position is for the Greenville office.
Key Responsibilities:
Front Office
• Conference room management
• Stage conference rooms, ensuring cleanliness and replenishment of snacks after meetings.
• Confirm advisor calendars to ensure conference rooms are booked for client meetings.
• Greet clients as they arrive.
• Handle both outgoing and incoming mail and FedEx.
• Order office/bathroom supplies as needed.
• Answer the main phone line, routing questions and requests appropriately.
• Troubleshoot issues with faxing, scanning, and printing Document Processing and Reports
• Process client checks and receipts.
• Scan documents Scheduling
• Schedule client appointments as directed, ensuring prep and debrief time for client meetings.
• Schedule personal events and professional meetings for advisors.
• Schedule birthday lunches/manage orders for staff.
Advisor Specific
• Manage license renewals and required coursework for advisors.
• Triage email and return phone calls for select advisors.
• Confirm client appointments for all advisors.
• Prepare and send thank you notes to clients.
• Monitor overdue premiums for an advisor twice or more per week.
Qualifications:
Education and Experience:
• Bachelor's degree required
• Previous administrative experience is required (5 years).
Skills and Abilities:
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to handle confidential information with discretion.
• Notary license preferred.
Working Conditions:
• Full-time position (8 hour shift, Monday to Friday)
• In-person office environment.
• Salary commensurate based on a candidate's experience, skills, education, and training (Pay range: $37,000.00 - $50,000.00 per year)
